Accommodation

The Secretariat has reserved accommodation at a selection of local hotels. Every effort will be made to provide rooms at the required rate. However, the supply of rooms at any particular rate is necessarily limited and room allocations will be made on a first-come, first-served basis. Melia Whitehouse

The Secretariat has negotiated special rates with the official conference hotels and these rates were the best available to the Secretariat at the time of placing the group booking. Delegates are free to book accommodation directly through the internet on other websites where it could be possible to obtain a lower rate. In many of those cases, only a small number of rooms are available at the reduced rate and unfortunately, the Secretariat cannot match these lower rates offered by other agencies on the internet. The Secretariat will not be responsible for any bookings that are made through external organisations or directly with any hotel.

Rates quoted include breakfast and VAT at 17.5%, unless stated otherwise. The cost of room extras, e.g. telephone bills, laundry etc, should be settled directly with the hotel on departure.


Accommodation Booking and Payment
Full payment for accommodation is required on booking and reservations will not be made without payment. Confirmation of your reservation will be sent on receipt of the Registration/Accommodation Booking Form or confirmed on-line booking and full payment.

Changes to Accommodation
Subsequent changes to accommodation requirements should be directed to the Secretariat, NOT the hotel.

Accommodation Cancellations and Refunds
Payment for accommodation will be refunded in full if the Secretariat can resell the bedrooms and provided that written notice of cancellation is received. Name substitutions will be permitted at any time. Refund payments will be made after the Congress.
